We Do
Our
primary responsibility is to determine exactly what the needs
of your group are. We then match those needs to the facilities
and capabilities of the hotels in the location and price range
which you have determined for your meeting. These needs may
be meeting space, airport access, recreational facilities,
special dining requirements, etc.. We then seek availability
at properties which we believe will fit your needs.
In that the major fixed cost of a meeting is the price, per
night, for the sleeping rooms for the group, this is usually
the determining budgetary consideration. Because we place
so many groups, we understand the negotiating parameters within
which we can work to get your group the best value for your
meeting. We then negotiate with the target properties to get
their absolute best bid for your business.
We
provide you with proposals from those properties which typically
include not only their sleeping room price but pricing for
whatever other requirements your meeting may have. Once you
have made your selection, receiving objective advise from
our staff, we then finalize negotiations for a contract for
presentation to you for approval. We also introduce you to
a designated person at the property who will then become your
ongoing contact through the conclusion of your meeting.
Things
we don't typically do concern transportation to the property,
food and beverage negotiations, recreational arrangements
such as golf or spa treatments, audiovisual requirements and
outside speakers. These items are typically handled by your
contact at the property. However, we will be glad to advise
you and recommend certain solutions to these needs.
