If I have a meeting that I think would qualify, what exactly is the timeline that takes place?
Answer:
If you have found a property listed on Best Venues that you think would be suitable for your meeting, the following then takes place:
  • 1. Submit the Rebate Availability Request Form by clicking the "Rebate Availability Request" button within the hotel search results. In as little as a few minutes to no more than one business day, dependent upon personnel being available in our office, you will receive a response.
  • 2. Assuming that your dates qualify for the property in question, you can include that property in your site negotiations secure in the knowledge that the best rate you negotiate will actually be further reduced by the rebate. Once you have received a formal quote, you then request we issue our Rebate Guarantee. Like the Rebate Availability Request, we should be able to issue the Rebate Guarantee in a similar time frame.
  • 3. At the conclusion of your meeting, you submit the copies from the hotel portfolio showing net room expenditure which we need to process your rebate. Within 10 business days the designated recipient should receive the rebate check.
Can I select more than one property for a rebate availability request?
Answer:
Absolutely.
Do I have to disclose to the property that my group qualifies for a rebate?
Answer:
No, in fact the people at the property level probably will not even know about the rebate program that has been negotiated at the corporate level. You get to conduct your negotiations in a truly, arm's-length manner.
What determines who gets the actual rebate check?
Answer:
You do. After you have negotiated your contract and you submit your request for your Rebate Guarantee, you indicate on the form to whom the check is to be made.
How is the rebate calculated?
Answer:
At the completion of your program, you will need to submit a copy of the page of the hotel portfolio showing of the total charges for the sleeping rooms. Your rebate will be calculated on that total charge less any amounts allocated to taxes, resort fees or other surcharges.
Are rebates available for groups where the individual attendees pay for their own rooms?
Answer:
Absolutely. We will just need a copy of the accounting showing the final block take up with the total room revenue less any amounts allocated to taxes, resort fees or other surcharges.
I see that rebates can range from 10%-15%. What determines the percentage of rebate?
Answer:
The majority of programs will for the 10% rebate. However, other factors such as size of the room block in comparison to the size of the hotel, dates of the meeting, and certain contractual provisions at the corporate level can result in as much as a 15% rebate. When you check for a rebate availability based upon property and date, we will advise you as to the rebate rate which we will guarantee.
